The back office that runs itself

A three-person team runs KVR Audio's 700+ member community, marketplace, and daily editorial output. We built the AI automation and business process systems that make that arithmetic work.

Problem

Every advertiser email and call had to be typed into a CRM by hand before anyone could act on it. Every new deal from a competitor's site had to be checked against the marketplace one by one. Every press release needed someone to read it, decide if it mattered, and write it up before a competitor did. None of it was broken. All of it was more volume than three people could carry without something slipping.

Approach

We didn't propose a platform migration or a fourth hire. We built a set of narrow, specific automations: a twice-daily scan that reads advertiser email and meeting notes straight into the CRM, a scraper that checks competitor deal sites and stages genuinely new listings for approval, and an editorial pipeline that uses AI to draft news items and articles from press releases and competitor coverage in KVR's own voice. Every one of them stops at a human: someone still approves, edits, and sends.

Outcome

The same three-person team now runs the community, the marketplace, and the news desk without adding a fourth. Advertiser follow-ups get logged the day they happen instead of waiting for a free hour. New deals and draft articles are already staged by the time someone goes looking for them.

Client: KVR Audio

Five systems carry the routine work, a mix of AI automation and straightforward business process automation, so the team can spend its time on judgment calls instead:

01 · Custom CRM & advertiser intelligence Reads advertiser email and call notes twice a day, logs every interaction, updates deals, and syncs follow-ups to the calendar. Nothing about a client relationship depends on someone remembering to write it down.

02 · Deal & marketplace pipeline Checks competitor deal sites daily, filters against what’s already listed, and stages only the genuinely new deals for a one-click approval.

03 · Editorial pipeline Uses AI to turn developer press releases and competitor coverage into drafted news items and features in KVR’s own editorial voice, ready for a human edit before anything publishes.

04 · Marketplace mailer Picks the week’s best deals, writes the copy, builds the full newsletter and sends automatically.

05 · Analytics command centre Pulls traffic, search, and ad revenue data into one dashboard, so a performance question gets answered by opening a page instead of building a report.
